How we handle your personal information

Last updated November 5, 2026. This page covers our website forms, our web server, and the information we handle when we look after your systems.

Who is responsible

Bitnode Technologies is responsible for the personal information described here. Questions, requests and complaints go to hello@bitnode.tech or +1 (778) 779-7127.

What our forms collect, and why

WhatWhy
Your name, email address and phone numberTo reply to you
Your business name, state, type of business and team sizeTo prepare for the conversation or assessment
The issue you would like us to review, and when you are availableTo plan the assessment
How you heard about us, if you tell usTo understand which of our outreach works

Each request goes to our team mailbox and is saved in our business system, where it is used to answer you and to prepare for the work you asked about.

What the website records

  • Server logs. Like every website, our server records each request: the address it came from, the time, the page and the browser. We use these to keep the site secure and working.
  • Essential cookies. Our website platform sets small cookies to keep the site working, remember your language and count visits to each page.

We do not use advertising trackers or third-party analytics on this site. We do not sell or share personal information for advertising, and we never have.

When we look after your systems

  • We may see personal information stored in your systems, such as your staff's, patients' or customers' details, while we work. We access it only as needed for the work you authorize, and we do not use it for anything else. Some agreed work, such as a migration, a backup or testing, needs a copy of your data. We protect those copies, limit access to the people doing the work, and keep them only as long as the work requires or as agreed with you.
  • Where a law such as HIPAA requires a written agreement covering how we handle your data, we put that in place with you before we start.
  • We keep business records about our clients: contacts, quotes, invoices and support history, in a business system we host ourselves.
  • We keep your information confidential and limit access to the people doing your work.

Who we share it with

We share personal information only with the service providers we use to run our business, such as our email, accounting and payment providers, and only as far as they need it to provide that service. Our email is provided by Apple iCloud Mail and Proton Mail, which store the emails you send us and the copy of each website request sent to our team mailbox. Our business system, which holds website requests and client records, is hosted in Canada. We may also disclose information where the law requires it.

How long we keep it

  • Requests that do not lead to work: deleted within 12 months.
  • Client records: kept for as long as we work together, then as long as tax and business record laws require.
  • Server logs: kept for one year from the date of access, for security and troubleshooting, then deleted.

How we protect it

We apply the same safeguards we set up for clients: multi-factor sign-in on our accounts, encrypted connections, current updates, access limited to the people who need it, and tested backups.

Your choices and rights

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct it, or to delete it where we do not need to keep it by law.
  • Ask us to stop contacting you.

We offer these choices to everyone, whichever state you live in, and we will not treat you differently for using them. Send requests to hello@bitnode.tech. We reply within one business day and complete requests within 30 days.

Changes to this page

If we change how we handle personal information, we update this page and the date at the top.

In short

  • We collect only what we need to reply and do the work.
  • No advertising trackers, no third-party analytics.
  • We never sell personal information.
  • You can ask for a copy, a correction or deletion at any time.
